ASTR strives to create an inclusive, equitable, and accessible conference environment for all attendees. The first step in generating this atmosphere is planning for access and communication. The Executive Committee (EC) and Committee on Conferences (CoC) therefore encourages all conference attendees to communicate requests for accommodation through their conference registration form. You are also welcome to email these requests directly to the Conference Program Chairs (firstname.lastname@example.org). Please try to communicate any requests by six weeks prior to the conference so that we can work to provide seamless access once you arrive.
In addition, a Subcommittee for Conference Accessibility created the Best Practices Guide linked here. It offers suggestions for organizing and creating conference presentations that are accessible and welcoming to all members. Please review these suggestions and incorporate them into your conference presentation and session planning.
Finally, the conference is not simply a place to share scholarship, but also to network and reconnect with people across our profession. Socializing is an important part of our conference experience. As you plan social events with fellow attendees, please be mindful that not everyone may be comfortable meeting at a bar or participating in social events that center around alcohol consumption. As you plan small and large gatherings we therefore encourage you to consider using the many public, social spaces that this year’s conference hotel offers. In particular, the Garden Terrace is a large, outdoor space that extends off the exhibit hall. This space, as well as the Harbor Terrace, will be available for attendees to enjoy throughout the conference.
